1. Introduction

Leaptyme is a product of Abrasax.Technology, operated by Jose Padilla (“we,” “our,” or “us”). Leaptyme provides a private communication and transparency platform for programs and the families, participants, staff, and communities they serve.

This Privacy Policy explains how we collect, use, store, and protect information when you use Leaptyme.

By using Leaptyme, you agree to the practices described in this Privacy Policy.

2. What Leaptyme Is

Leaptyme is a private communication platform. It is intended to help programs share updates, messages, announcements, photos, videos, forms, and general community information with authorized users.

Leaptyme is not a medical records system, healthcare platform, electronic health record system, therapy platform, or treatment management system.

Leaptyme should be understood as a private communication and community platform, not as a regulated healthcare data system.

3. Who Uses Leaptyme

Leaptyme may be used by:

  • Programs that operate private instances of the platform
  • Staff members of those programs
  • Participants invited by the program
  • Family members or authorized representatives invited by the program

Each program operates its own private instance of Leaptyme. Information is not shared between separate program instances.

4. Platform Roles

Programs using Leaptyme control how their instance is used, who is invited, what content is posted, and what privacy settings apply.

In most cases:

  • The program is responsible for deciding what information is collected and shared.
  • Leaptyme provides the software platform used to store, display, and transmit that information.
  • Leaptyme acts as a service provider or data processor for the program.

Programs are responsible for their own legal obligations, privacy practices, participant consents, and internal policies.

5. Information We Collect

Leaptyme collects only the information needed to operate the platform.

Account Information

We may collect:

  • Name
  • Email address
  • Phone number, if provided
  • Username or login identifier
  • Password credentials, stored securely
  • Program affiliation or user role

User Content

Users and programs may share content through the platform, including:

  • Messages
  • Posts
  • Comments
  • Photos
  • Videos
  • Announcements
  • Form submissions
  • Digital signatures
  • Uploaded files or media

Usage and Technical Information

We may collect basic usage and technical information, including:

  • Login times
  • Device type
  • Browser type
  • IP address
  • Basic activity logs
  • Security and error logs
  • Platform usage records needed to operate, secure, and support the service

6. No Medical Records or Protected Health Information

Leaptyme is not intended for medical records, treatment records, diagnostic information, healthcare billing information, therapy notes, medication records, or any Protected Health Information (“PHI”) as defined under the Health Insurance Portability and Accountability Act (“HIPAA”).

Programs and users agree not to upload, post, transmit, or store PHI or other regulated healthcare data on Leaptyme.

Leaptyme does not provide healthcare services and does not act as a covered entity or business associate under HIPAA. Leaptyme is intended for general communication, visibility, family updates, program transparency, and community engagement.

Programs are responsible for ensuring that their use of Leaptyme does not include PHI or other regulated data unless a separate written agreement expressly permits that use.

7. How We Use Information

We use information collected through Leaptyme to:

  • Provide, operate, and maintain the platform
  • Create and manage user accounts
  • Deliver messages, announcements, posts, updates, and notifications
  • Store and display content shared by users
  • Support consent and visibility settings
  • Maintain activity and audit records on behalf of the program
  • Improve platform reliability, security, and usability
  • Respond to support requests
  • Troubleshoot technical issues
  • Enforce platform rules and prevent misuse
  • Comply with applicable legal obligations

We do not sell personal information.

We do not use personal information for third-party advertising.

We do not share user content with outside parties except as described in this Privacy Policy.

8. Consent and Visibility Controls

Leaptyme includes per-user consent and visibility settings. Depending on how the program configures the platform, participants or their authorized representatives may control:

  • Whether their photo, video, or likeness appears on the platform
  • Who can view their posts, media, or profile content
  • Whether comments are enabled on their content
  • Whether certain content is visible to families, staff, groups, or private users
  • Other visibility preferences configured by the program

These preferences are designed to be respected by the platform automatically.

Programs are responsible for collecting appropriate consent before adding any individual, photo, video, or identifying information to the platform.

9. Moderation and Monitoring

To maintain a safe and appropriate environment, programs may review messages, posts, media, comments, forms, and other content posted within their Leaptyme instance.

Users should understand that content shared on Leaptyme may be visible to authorized program staff, administrators, or moderators.

Monitoring may be used to:

  • Protect participants and families
  • Ensure appropriate use
  • Investigate reported issues
  • Enforce program policies
  • Maintain records for the program

10. Sharing of Information

We may share information only in limited circumstances:

With the Program

Information may be visible to the program operating the instance, including authorized staff and administrators.

With Other Authorized Users

Content may be shared with other users according to the platform’s permissions, visibility settings, and program configuration.

With Service Providers

We may use trusted vendors to help operate Leaptyme, including hosting, storage, email delivery, notification delivery, analytics, security, and technical support providers.

These providers may access information only as needed to provide services to us and are expected to maintain appropriate confidentiality and security protections.

For Legal or Safety Reasons

We may disclose information if required by law, court order, legal process, or if we believe disclosure is necessary to protect the rights, safety, or security of users, programs, Leaptyme, or others.

11. Third-Party Services

Leaptyme may use third-party service providers for:

  • Hosting and infrastructure
  • Database services
  • File, photo, and video storage
  • Email delivery
  • SMS or notification delivery
  • Error monitoring and security logging
  • Payment processing, if applicable

Third-party providers process information only as necessary to provide their services.

Leaptyme is not responsible for the privacy practices of external websites, services, or applications that may be linked from the platform.

12. Data Storage and Security

We use reasonable administrative, technical, and organizational safeguards to protect information, including:

  • HTTPS/TLS encryption for data in transit
  • Secure password hashing
  • Role-based access controls
  • Permission-based visibility controls
  • Restricted administrative access
  • Logging and monitoring for security and reliability
  • Encryption or other protections for stored data where appropriate

No system can guarantee absolute security. Users are responsible for keeping their login credentials confidential and for notifying the program or Leaptyme if they believe their account has been compromised.

13. Data Retention

Information is retained for as long as needed to provide Leaptyme services, maintain the program’s account, comply with legal obligations, resolve disputes, enforce agreements, or support program operations.

Programs may configure their own retention practices. Some content may be archived, exported, or retained by the program outside of Leaptyme.

When a program ends its use of Leaptyme, data will be returned, exported, archived, or deleted according to the program’s instructions, typically within 90 days, unless a longer period is required by law or necessary for legitimate business purposes.

14. User Rights and Choices

Depending on your location and applicable law, you may have the right to:

  • Access information associated with your account
  • Request correction of inaccurate information
  • Request deletion of your account or personal information
  • Withdraw consent for certain uses
  • Request a copy of your data
  • Limit certain visibility settings
  • Object to certain processing where applicable

Because each program controls its own Leaptyme instance, most requests should first be directed to the program administrator.

15. Children and Minors

Leaptyme is intended for use by adults, programs, staff, family members, and authorized representatives.

If a program uses Leaptyme in connection with minors, the program is responsible for obtaining appropriate parent or guardian consent before adding a minor or sharing any information, photo, video, or content related to a minor.

Leaptyme is not intended for unsupervised use by children.

16. Communications and Notifications

Leaptyme may send users communications related to their account or program participation, including account notices, login or security alerts, messages and announcements, program updates, form or signature requests, and support communications.

Depending on platform configuration, communications may be sent by email, in-app notification, SMS, or other available methods.

Users may be able to manage certain notification preferences through their account settings or by contacting their program administrator.

17. SMS and Mobile Messaging

If SMS or mobile messaging features are enabled, users may receive text messages related to Leaptyme activity, account access, program updates, reminders, or notifications.

Message frequency may vary. Message and data rates may apply. Users may opt out of SMS messages where supported by following the instructions provided in the message or by contacting the program administrator.

Leaptyme does not sell or share mobile phone numbers for advertising or third-party marketing.

18. International Use

Leaptyme may be hosted, stored, or processed in the United States or other regions depending on the program’s configuration and service providers.

By using Leaptyme, you understand that your information may be processed in a jurisdiction different from where you live.

19. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

When we update it, we will revise the “Last updated” date at the top of this page. If changes are significant, we may notify users through the platform, by email, or by another appropriate method.

Continued use of Leaptyme after an updated Privacy Policy becomes effective means you accept the updated policy.

20. Program Responsibility

Programs using Leaptyme are responsible for:

  • Their own privacy practices
  • Their own participant and family consents
  • Managing staff and user access
  • Configuring visibility and consent settings appropriately
  • Ensuring content uploaded to Leaptyme is lawful and appropriate
  • Preventing the upload or storage of PHI or other regulated data unless separately authorized in writing
  • Maintaining any additional policies required for their organization

This Privacy Policy describes Leaptyme’s practices as the platform provider. Programs may have additional privacy policies, consent forms, terms, rules, or procedures that apply to their users.
